From Inquiry to Delivered Equipment

A structured process keeps quotation, manufacturing, documentation, and freight aligned with the customer's project timeline.

Step 01

Inquiry & Specification

You send us pump duty, materials, certifications, and destination. We respond with a quotation, lead time, and applicable Incoterms.

Step 02

Order Confirmation

Order is placed with the manufacturer. We track production progress and confirm shipping window.

Step 03

Manufacturing & Testing

Factory production runs through hydrostatic test, performance test, and any witness testing or class society survey requested.

Step 04

Documentation Package

Commercial invoice, packing list, certificate of origin, EN 10204 material certificates, test reports, and class certificates as required.

Step 05

Freight & Customs

Sea, air, or road freight arranged through our forwarders. Export customs declaration handled in the Netherlands.

Step 06

Delivery & After-Sales

Pump arrives at destination port or job site. Technical support and spare parts are coordinated through the same channel.

Standard Export Documentation

Each consignment ships with a complete documentation set, prepared to the destination country's customs requirements and the customer's specifications.

  • Commercial invoice (with HS codes and Incoterms)
  • Packing list (weights, dimensions, gross/net)
  • Certificate of origin (EUR.1 or non-preferential)
  • EN 10204 material certificates (3.1 or 3.2)
  • Hydrostatic and performance test reports
  • Classification society certificates (DNV, LR, BV, ABS, etc.)
  • ATEX / IECEx declarations of conformity
  • Dangerous goods declarations where applicable
  • Customs export declarations and EORI handling

Shipping Modes & Lead Times

Sea Freight

Containerised (FCL/LCL) or break-bulk for large pumps and pump skids. Cost-effective for non-urgent consignments.

Typical lead time: 2–6 weeks depending on destination

Air Freight

For urgent spare parts and small pumps. Used regularly for vessel-down situations and emergency dewatering.

Typical lead time: 2–7 days

Road Freight (EU)

Within Europe and to the UK we use trusted road haulage partners for direct delivery.

What international B2B buyers ask before placing an order with We Sell Pumps.

We supply customers worldwide, with most shipments going to Europe, the Middle East, Africa, Southeast Asia, Latin America, and Oceania. We do not supply to Russia, Belarus, or other countries subject to EU or Dutch sanctions, nor to listed entities. End-use screening is part of every order.
We routinely quote on EXW, FCA, FOB, CIF, CPT, CIP, and DAP terms depending on the customer's preference. For first-time customers we typically recommend CIF (sea) or CPT (air) to keep import-side complexity to a minimum. Incoterms 2020 apply unless otherwise agreed.
For our primary partner brands we operate as an authorised supplier through factory-approved channels. For other manufacturers we work via our European distribution network, ensuring genuine OEM parts with traceable supply chains.
For standard pumps and spare parts on common European brands, we typically respond within one working day with availability and pricing. Specialised or legacy parts may take 2–5 working days while we source from manufacturer or specialist stock partners. Urgent inquiries should be flagged in the subject line for priority handling.
We supply both. Many of our regular inquiries are for single spare parts — a mechanical seal, an impeller, a flexible impeller for a marine cooling pump. We also handle multi-unit project quotations for shipbuilders, contractors, and OEMs. There is no minimum order value.
Yes. Many destinations have specific requirements — legalised certificates of origin, embassy attestation, SASO conformity (Saudi Arabia), SONCAP (Nigeria), KEBS (Kenya), and similar regimes. We coordinate with the relevant chambers of commerce and inspection bodies to prepare the required documents at order stage.
For first orders we typically work on bank transfer (T/T) in advance or against pro-forma invoice. For repeat customers we offer net payment terms after credit assessment. Letter of credit (L/C) is supported for larger orders to destinations where this is the standard practice.
